Lesson 1 - Setting the Scene
 

1. Starter

Download this example Gannt chart, buying a car. Experiment with the settings and try to come up with a reasonble time line for the things you would have to do if you were buying a car.

In this lesson we will find out what this unit is about, and plan how we will carry out the tasks needed. We will be setting up ICT systems for use in running a school play. Final marks for the project will be awarded for the quality of your solutions and for the documentation of your project.

2. Group activity - Your teacher will show you a systems lifecycle diagram, and you will need to think how the steps fit together on the circle.

3. Main Activity

Download the project brief. Read it through and identify the tasks which for which ICT could be used to make the organisation of the production smoother. Download the blank Gannt chart and save it. Try to fill it in. Each task will need to be analysed designed implemented tested and evaluated. We will probably have between 7 and 10 weeks to complete the project not including the holidays. (This will need to be filled in as 1 or 2 weeks when no progress is made).

3. Plenery

Class discussion what should a successful system be able to do? some ideas could include:

  • A seating plan, which allows individual seats to be booked, and a total to be kept of the money taken,
  • A financial plan that will allow costs to be input and ‘what if?’ questions to be asked, to decide on the most appropriate pricing for tickets,
  • Suitable advertising to be produced which will appeal both to Year 6 pupils and also to their parents.
 
 
 
 
   
 
 
Lesson 2 - Creating the seating plan in Excel

1. Starter Activity.

Download the model People on the dance floor. This models the door policy of a nightclub.

The manager of a night club knows that there will be less trouble if he keeps even numbers of men and women on the dance floor. The model tracks the numbers of men and women as they enter and then sends a message to the doorkeepers telling them whether more men or more women are needed to balance the numbers. The model also keeps a record of the money taken.

Try out the spread sheet to see how it works and then identify the inputs processes and outputs. Also try to explain the formulae for countif and IF, THEN, ELSE.

2. Main Activity.

You will start designing your theatre plan in Excel. How are the seats usually laid out in the hall for plays? Can you think of a better way?

Use the border and shading tools in Excel to create a theatre plan. Remember seating sections should be labelled, seats need to have a number and there needs to be a stage.

Lesson 3 - Adding formulas

1. Starter Activity.

Download the model People on the dance floor. Last lesson you saw how the countif statement works. Today you will use the formula to count seats in your booking system.

Your Theatre Booking System should be empty at this stage (no one has booked a seat). You need to do decide if all the seats are going to be sold at the same price. You might decide to have one price for adults and another for children. What are those costs and how will you show which seats are booked by adults(A?) and children (C?).

2. Main Tasks

For each section of seats you need to count all the As and Cs (if A is your symbol for adult and C for child).

You also need to put the price for that type of seat in the spreadsheet.
HINT: put the price next to the countif formula. like this

Lesson 4 - Refining the model

In this lesson you will include "Conditional formatting" in your Theatre Booking System. You will also need to use a new sheet to record details of who each seat has been sold to.

Once these things have been done your Booking System will be complete.

Task 1

So, first things first "Conditional formatting". This can be used in a spreadsheet to help make things standout. View this presentation on how to do it (you will need sound enabled to hear the tutorial).

You need to use conditional formatting on each seating section of your Booking System. If an adult seat is booked with the code "A" the background of that seat should change colour.

Task 2

The last part of your system is going to be very important if you want to know who has brought tickets. You need to use "Sheet 2" to record personal details for each person who has booked a seat. An example of some of the details you will need to save can be seen here.

Lesson 5 & 6 - Creating a User Manual

The function of a user manual is to explain how to control each part of a piece of software. A computer game, for example, will have a user manual that explains how to install the game and what the controls are.

1. Discussion:
What other things would a user manual include?
What pages would a good user manual have in it?

2. Main Task

Use publisher to create a user manual. Make sure you include step by step guidance on how do everything in your system. Remember back to last lesson:
How did you load the system?
How did you book a seat?
How could you change the cost of a seat?

Use print screens and describe each step in as much detail as possible. You will get a better grade if you cleatly describe each step.

 
 
 
 
   
 
 
Lesson 7 - Advertising the play

If you check the project task sheet you will see that advertising the play was an issue that needed to be fixed. Parents of the year 6 pupils did not know about the previous play.

1. Class discussion
How are you going to advertise the play?
What information do you need to include?

2. Main Task

Use a suitable program to advertise the play.

Lesson 8 - Creating a ticket

In todays lesson you will be creating a ticket in microsoft word. The reason you will be creating a ticket in microsoft word and not a drawing program is because you can do some thing called a mail merge.

You should have your Theatre Booking System set up and about 6 seats booked. If you have 6 seats booked you should have "sheet 2" filled with at least 6 peoples details.

1. Starter
Use the functions in Microsoft Word to create a ticket.

You should incluce: Suitable clip art,
A border,
Space for personal details.

2. Main Task

View this presentation on how to set up a mail merge.

Now set up the mail merge for the information in your Theatre Booking System and your newly created ticket.

Produce a presentation for the rest of the class describing each of the tasks you have had to complete.

Include the following:

  • What parts of putting on the production have you computerised
  • Explain the countif formula in detail
  • What other slides will you need to include?
